Contract
Once a booking is made and upon receipt of your deposit (non-refundable) you have entered into a contract with Motorhome Tours Limited and the Terms and Conditions apply and by paying the deposit you agree to these terms. The booking and contract are with the lead name, who must be over 18 years of age, of the party and it is their responsibility to ensure all party members are aware and are able to comply and accept all the Terms and Conditions.
Deposit/Balance
On receipt of the deposit your place on the tour is booked. The balance of the tour is due 15 weeks before the start date. If the balance has not been paid by the due date, we reserve the right to cancel your booking and the deposit will not be refunded. All monies paid to Motorhome Tours Limited is held in a client account in accordance with 1992 Package Tours Regulations and the monies are held in this account until the tour has ended, which gives complete security. If the tour is booked with less than 15 weeks to the tour start date, then the tour cost is due immediately in full.
Booking
Once you have made your booking and paid the deposit we will confirm your place and details by email. Please advise us within 7 days of receiving our confirmation if any of your or your parties details are incorrect. Motorhome Tours Limited contract is with the ‘lead’ name on the booking and all correspondence should be from the ‘lead’ name in the party.
Tour Cost and Pricing
The itinerary for each tour covers what is included in the tour cost. Fuel, vignettes tolls, insurances, optional trips, food and drink which are not on the itinerary are not included. These are examples and not an exhaustive list of what is not included. We reserve the right to alter the price stated on each tour on our website. We will inform you when you enquire/book a tour if the price has altered from the advertised price. Once the booking has been confirmed and the deposit paid the price will not alter.
Vouchers Fair Use Policy
Only one voucher may be used per booking.
Tour Itinerary and Your Responsibilities
Our aim is to follow the itinerary as stated. There may instances that we need to make changes and this may be at short notice. This could be due, but not limited to, a supplier cancelling an excursion, meal or destination at short notice. Bad weather may also affect the itinerary. We will always keep you informed of any changes as they occur. You and all members in your party are responsible for following the itinerary and ensuring you are on time for all events listed on the itinerary. No refunds will be made if you miss an event. Any event that takes place that is not documented on the itinerary is not our responsibility even if we are in attendance.
We book the most suitable campsites we are able to in each destination. The campsites will have electric hook up except on the odd occasion where it is not possible to have EHU. Most campsites offer Wi-Fi although this is often at an extra cost to you and we cannot guarantee the speed or quality of the Wi-Fi. Many European campsite pitches are surrounded by trees due to the high summer temperatures and we cannot guarantee that a satellite reception will be obtained if required. Occasionally we may use an aire without facilities which will be stated in the itinerary. This offers a great chance to use your motorhome to its full potential.
Our website and tour itinerary state the mileage between destinations and the total mileage of the tour. These figures are approximate and for guidance only. Some journeys may be longer due to roadworks, road closures etc where we will have to find an alternative route adding extra miles.
You are responsible to behave in an appropriate manner at all times and have due consideration to others on the tour. If at any time we consider your behaviour to be unacceptable you will be asked to make amends or leave the tour. No refund will be made for any part of the tour that has not been completed.
Please inform us at the time of booking if you have any dietary requirements and/or anything else we should know. We will endeavour to meet your requirements but will not be held responsible if a supplier does not conform to the requests.
You Cancel
The ‘lead’ name on the booking must write to us to inform us if you have to cancel your booking. When the cancellation is received, we will action this and the booking will be cancelled. We will confirm to you that the cancellation has been actioned. The following charges will apply;
Loss of deposit: 15+ weeks before tour start date
50% refund due: 15-6 weeks
No refund due: 6 weeks
It may be possible to claim on your Travel Insurance if cancellation is covered in the terms of your policy.
We Cancel
It is unlikely that a tour or your booking is cancelled by us but if we do we will give you a minimum of 15 days notice and you will be offered a full refund or book you on another tour. If another tour is booked which has a different cost we will refund you the difference if less than the cancelled tour or there will be a balance for you to pay if the cost is more than the cancelled tour. If the tour you are booked on is cancelled we will only refund/redistribute monies that have been paid for the tour cost. We are not liable for any other costs you have incurred for this trip e.g. additional excursions, campsites. A tour can be cancelled at less than 15 days notice if there is a situation outside of our control. These include, but not limited to, advised by Foreign Office not to travel to a country on the tour e.g. Covid-19, adverse weather, terrorist activity or attack, war or threat of war, earthquakes or other natural disaster, industrial disputes and demonstrations. A full refund or the option to change to another tour will be offered. If another tour is booked which has a different cost, we will refund you the difference of less than the cancelled tour or there will be a balance for you to pay if the cost is more than the cancelled tour.
Each tour needs a minimum number of motorhomes booked for the tour to proceed. In the unlikely event that this happens, we will give you no less than 1 months notice and a full refund or the option to change to another tour will be offered. If another tour is booked which has a different cost, we will refund you the difference of less than the cancelled tour or there will be a balance for you to pay if the cost is more than the cancelled tour.
We are not liable for any other costs you have incurred for this tour e.g. additional excursions, campsites.
Insurances
Travel You must take out travel insurance which covers you and your party for the duration of the tour. We recommend that your cover insures you for cancellation charges in case you need to cancel.
Vehicle It is your responsibility to ensure that your vehicle has the correct insurance for the countries on the tour. Some countries require ’emissions stickers’ which are simple and inexpensive to acquire, some countries require a Motorway/Toll Vignette sticker or Toll Tag. We shall always help with advice for the Tolls and what requirements are required but it is ultimately the responsibility of the motorhome owner to make sure they have the correct Toll registration and payment method in place.
Breakdown We highly recommend that you have insurance to cover you for a breakdown. If your motorhome suffers a breakdown we will help you in any way we can but will not be able to hold up the tour. If you are not able to carry on with the tour or miss part of the tour no refund will be available.
Documents and Equipment You will need a Driving Licence, Passport, V5C certificate, MOT certificate (if vehicle requires one), Vehicle Insurance Documents Including ‘Green Card’ and Personal Travel Insurance documents. It is required to carry the following safety items – warning triangle, reflective safety vests and beam deflectors. If any other items/visas/documents are required for certain countries in addition to these, they will be detailed on the Tour information. It is your responsibility to ensure your vehicle is legal in all countries visited on the tour, you have the correct documents and equipment for all countries visited on the tour. We will not be held responsible if you do not have the correct documents and equipment and no refund will be made if you are unable to continue with tour.
Video and Photos
We will be taking video footage and photographs throughout the tour for us to provide you with a memory video with photos of the tour. We may use some of the footage for marketing and promotions. If you or who you are travelling with do not want to be in any marketing or promotional footage, then please inform us before the tour or on day one of the tour.
Data Protection
The information you send us is held by us and used only for booking purposes or for sending you information about future tours or other services we offer. Some of the personal information we hold is passed to third party companies, e.g campsites who require all the names of the tour group, who are used on the tour to enable us to book the required itinerary for the tour. These companies will have their own policies for data protection in place.
Complaints
If you have the need to complain then please inform us as soon as possible. We will endeavour to rectify your complaint to a satisfactory end at this time. If you are not satisfied, then please write to us by email within 10 days of the tour ending. You must demonstrate that reasonable care and attention had not been taken as we use many suppliers and their actions are out of our control.
Pets – One Small or Medium Size Dog Allowed Per Booking
If pets are allowed on a tour this will be stated on the tour description. If you bring your pet you are fully responsible for all the documentation required that your pet needs to travel with you. If a pet is allowed on a tour this does not mean that all parts of the tour, e.g. some excursions and meals, are pet friendly. We cannot guarantee a refund will be given if you are unable to attend. Your pet must be under control at all times and due consideration must be given to other tour clients as not everyone is happy around pets. Dogs should be Toilet Trained, Well Socialised and Well Behaved. Should your pet become a nuisance to the group or we receive many complaints you will be asked not to bring your pet to any of the group excursions, meals and activites.
